Business Process Improvement

Every law practice operates utilizing a host of support activities. Also known as “business processes”, these services vary significantly in complexity and scope, but all are critical to the effective and efficient operation of a legal practice. Often misdiagnosed, a poorly designed or undocumented business process is at the core of many day-to-day frustrations.

OCS has the ability to analyze, assess, redesign and document many of your essential business processes. Initially created out of necessity to meet a specific and urgent need, law firm business processes are often undocumented causing them to deliver inconsistent and unreliable results. The lack of documentation also makes review, approval and training of the process difficult and severely limits your ability to transfer the process to other personnel should the need arise.

Working with members of your firm, OCS begins by documenting the existing process workflows; identifying organizational structures and system flows; conducting surveys or interviews to identify input and output linkages, service levels and volumes; and analyzing all service delivery performance areas.

Using time-tested methods, OCS has the ability to improve processes in nearly every administrative area. Some common business processes we improve include:

  • Billing and Collection
  • Cost Recovery
  • Accounts Payable
  • Client Intake
  • Onboarding / Orientation
  • Performance Evaluations
  • Records
  • Docketing
  • Meetings and Events
  • Office Service
Project Management

OCS can help you manage your projects from start to finish or anywhere in between.  You can devote the majority of your time to your core job responsibilities and OCS can provide the project management expertise required to advance your projects to completion. Examples of projects OCS can successfully manage for you include:

  • Office Relocations
  • Office Reorganizations

Contracted Services and Suppliers

If your firm is like most, you have many suppliers and service providers that support your practice. Managing these outsourced relationships can be a challenging task and depending on the experience and diligence of your management personnel, it is easy to find yourself in an arrangement that is either not meeting your needs or is costing you more than anticipated.

Whether you are renewing existing services or establishing new relationships through a Bid/RFP process, OCS has the experience and industry access to manage the process, provide you an objective assessment of your options, and recommend a prudent course of action. OCS consultants have significant experience managing outsourced relationships and have explored ways that outsourcing can be used to significantly improve law firm operations. Examples of contracted services and suppliers OCS can help you assess and manage include:

Assessment Services

Law firms, regardless of size or complexity, are externally-focused organizations where the meeting of client expectations is the highest priority. As a result, how the firm operates internally is often a lower priority. While it is easy to understand the priority of focusing on clients, the lack of attention internally can cause errors and inefficiencies that ultimately lower the quality of client services and increase the cost of the firm’s operation.

To help manage this, OCS has developed a unique set of services designed to improve how you work. While the process is flexible enough to be applied to a single person, a position, a service, a department, or an entire firm; the goal of our assessment services is to understand where you are today and where you want to be in the future. With a minimal investment of time, OCS assessment services can provide you with a roadmap of how to move to the next level. Service Pricing

To afford our clients maximum flexibility, OCS offers several ways of partnering with your firm.

Project Basis: After an initial meeting to determine and clarify the scope, timeline and objectives of your project, OCS will prepare a proposal and schedule of deliverables that will set expectations and allow for appropriate project budgeting. This method is preferred by clients who want defined budgetary parameters and not have to worry about whether OCS consultants are “on the clock”.

Hourly Basis: For projects that are not as clearly defined, OCS will establish hourly rates and accountability milestones for each consultant working for the client. This method will always include a communication plan so the client can maintain control of the project and the budget.

Percentage Basis: When OCS is engaged to manage a contract negotiation, which often includes a bid or RFP process, our fee is calculated as a percentage of the contract and can be paid directly by the service provider ultimately awarded the contract. While this method is preferred by many firms, they always have the discretion to pay the fee directly.

Partners and Referrals

We understand that your needs may occasionally require services beyond those provided by OCS. Accordingly, we regularly make referrals to other business consultants and service providers. If you are a firm seeking a reputable consultant, please contact us with the details of your project and we will do our best to be of assistance.

Areas Served

We are available to travel throughout North America to serve our clients. We place an emphasis on personal, onsite visits to meet clients and their support personnel.
